Intelligent Room Substitution (IRS) is a next-generation feature of Bookassist's AI Booking Platform that regularly delivers a >7% uplift in conversion rates. It prevents availability gaps from turning direct bookings into OTA bookings by automatically checking for superior room availability when a guest's chosen room type is partially unavailable for a multi-night stay and one or more nights are unavailable in their chosen room type, IRS automatically checks whether a superior room type has availability for those nights and fulfills the booking seamlessly, without displaying any of this logic to the guest.

The guest completes their booking as normal. The hotel captures a direct booking that would otherwise have been lost or redirected to a higher-CPA channel. Only the hotel sees that IRS has been applied, clearly flagged in the booking confirmation and the Bookassist Extranet.

Guest searches for a multi-night stay

A guest looks for a Classic Room for three nights (Friday, Saturday, Sunday). Saturday shows noavailability on that room type.

IRS checks for a substitute

The platform checks the next room tier for Saturday availability. If IRS rules are met, the systemallocates that room for the unavailable night.

One direct booking, confirmed

The guest books a three-night stay as normal. A direct booking is captured at a lower CPA thanany OTA alternative. That is how we make your bookings more profitable.

Will guests know that a different room type covered part of their stay?

No. The guest sees a single confirmed booking for their chosen room. IRS operates entirely in the background as part of the intelligently designed Bookassist Ecosystem and is never surfaced to the guest at any point in the Customer Journey.

How do hotels configure IRS rules?

Hotels work with the Bookassist Support Team to define the rules: which room types can act as substitutes, the minimum length of stay required, and which rate plans are eligible. Once configured, hotels manage IRS directly from the Extranet under Rates/Availability.

Does IRS work across all devices and booking scenarios?

Yes. IRS applies across desktop, tablet, and mobile bookings as part of the full Customer
Journey. It works within the rate plans and availability structure the hotel has already set up and does not override pricing. It simply captures bookings that would otherwise be lost.
